Mission of Personal Information Protection

SIOS Group has set down our mission statement as “Making the impossible possible for the people of the world” with the aim of solving humanity’s problems through innovation, and doing our part to create a better society.
In line with this, we are mindful of the fact that carefully protecting personal information is an important part of the mission of our company.

Policy for Personal Information Protection

SIOS Corporation and SIOS Technology, Inc. (hereinafter, collectively, “SIOS”) shall enact, enforce, and maintain the Rules for the Personal Information Protection Management System and the Rules for Management of Specific Personal Information, which provide for appropriate handling of personal information, as well as following rules and procedures for personal information protection activities and their specific operations, in order to realize our mission of personal information protection.

  1. Acquisition, Use, and Provision of Personal Information

    When obtaining personal information, SIOS shall clarify the purpose of use and scope of handling regarding the personal information’s usage, delegation, and provision, taking into account the content and scale of the business, and, if the consent of the customer him/herself (in the case of minors, etc., their guardians, etc.) is obtained, SIOS shall collect personal information within the scope necessary to achieve the specified purpose of use in a lawful and justifiable manner, and shall not handle the personal information outside the scope of such purpose of use (hereinafter, “Outside Purpose”), and shall take measures to ensure this.

  2. Compliance with Laws, Regulations, and Guidelines Provided by the Government

    SIOS shall comply with laws, regulations, and guidelines provided by the government which are applicable to personal information.

  3. Prevention and Correction of Leakage, Loss, and Damages

    SIOS shall store the personal information provided to it or obtained by it under strict supervision, take appropriate safety and management measures for preventing such personal information from leakage, loss, or damages, and take corrective and preventive measures as necessary.

  4. Response to Inquiries, Complaints, and Consultations

    SIOS shall promptly respond to inquiries, complaints, and requests for consultation by the customer him/herself regarding our mission and policy of personal information protection.

  5. Continuous Improvement of the Personal Information Protection Management System

    SIOS shall establish internal rules and a system to handle and protect personal information appropriately, and establish a personal information protection management system capable of educating and training employees and implementing appropriate supervision, and SIOS shall continuously correct and improve such rules and systems.

Handling Procedures for Personal Information Protection

Handling of Specific Personal Information

With respect to the handling of specific personal information provided under the “Act on Use, etc. in Administrative Procedures of Numbers to Identify Specific Individuals”, the Rules for Specific Personal Information shall apply.

Purpose of Use of Personal Information

  1. SIOS develops, sells, supports and constructs systems for software and hardware products and, within the scope of the purpose of use for each of such businesses and services, uses personal information for the following purposes:
    1. Customers’ Personal Information
      • Performance of agreements entered into between customers and SIOS;
      • Response to the inquiries and requests from customers;
      • Introduction of events, such as exhibitions in which SIOS is participating and seminars conducted by SIOS, etc.; or
      • Analysis for the purpose of improvement of services which are conducted based on questionnaires, such as surveys regarding customer satisfaction.
    2. Personal Information of Shareholders
      • Administration regarding shares
    3. Personal Information of Employees
      • Employment (including recruitment) and HR administration of employees, etc.
  2. SIOS will obtain the consent of the customer when processing personal information collected from the customer him/herself or provided in seminars, etc. sponsored by SIOS, if such processing exceeds the purpose of use; provided, however, that in following cases, SIOS need not indicate the purpose of use of personal information:
    • when obtaining personal information in a meeting, exchange of business cards, or by referral, etc. from employees of SIOS; or
    • when collecting personal information through business cards, application forms, questionnaires etc. at various events, fairs, seminars, etc. In such cases, except where the consent of the customer could not be obtained, personal information may be used for introducing products/goods or services of SIOS and providing various information by e-mail, or for marketing or sales activities.
  3. Provision of Personal Information

    SIOS shall not provide personal information obtained from the customer him/herself to a third party except for following cases.

    • When the customer’s consent is obtained:
    • When required by laws or regulations;
    • When delegating services to service providers;
    • When taking measures provided by laws, regulations, or JISQ15001; or
    • When providing for joint use.
  4. Joint use

    SIOS may jointly use personal information of the customer, shareholders, officers/employees held by each entity within SIOS or between SIOS and consolidated subsidiaries of SIOS Corporation respectively within the scope of purpose of use as set out in Item 1. above. SIOS Corporation shall be responsible for the supervision of personal information under joint use.

Regarding Inquiries Relating to Notice of Purpose of Use of Personal Information, and Disclosure, Correction, Addition, or Deletion of Personal Information Held by SIOS, Etc.

Customers may, with regard to such customers’ own personal information which is subject to disclosure, follow the steps below for requests for notice of purpose of use of personal information, and disclosure, correction, addition, deletion, suspension of use, erasure, or requests for suspension of provision to a third party, of personal information held by SIOS.
